Travel Update: More Rooms, Shuttle Buses Added at Alternate Hotel Locations

[Updated 9/1, 9/5, 9/8 -- see below] For weeks now, we've been urging ScienceWriters2015 attendees to book their hotel rooms early. A lot of you listened to us—so many that our block of conference-rate rooms at the main conference hotel, the Hyatt Regency Cambridge, is now sold out. Rooms at the Hyatt must now be booked at market rates, which are well over $300/night.

We have a great conference planned, and we don't want anyone to stay home because of a shortage of affordable rooms. So we've been scrambling this week to come up with a richer package of alternatives for folks who aren't staying at the Hyatt.

Today we're pleased to share four five important updates.

More Rooms at the Fairfield Inn & Suites

Our block of conference rate rooms at the Fairfield Inn & Suites Boston Cambridge has been enlarged. The conference rate at the Fairfield, a new hotel, is $209/night + tax for October 9, 10, 11, and 12. The hotel may offer even more rooms at the conference rate if demand arises. Note that some prospective Fairfield guests desiring to stay past Oct. 12 have experienced difficulty requesting rooms online due to a glitch in the hotel's reservation calendar. You may need to override the calendar by manually typing in a departure date of 10/13.

Hampton Inn Added as an Alternate Hotel

We have secured a number of rooms at the Hampton Inn Boston Cambridge at a conference rate of $289 + tax for single occupancy and $309 + tax for double, triple, or quad occupancy.

The Hampton Inn is immediately adjacent to the Fairfield Inn & Suites on Monsignor O'Brien Highway, on the border between Cambridge and Somerville. Holiday Inn Express & Suites Added as an Alternate Hotel

[Update 9/1/15] We have also secured a limited number of rooms at the Holiday Inn Express Hotel & Suites Boston-Cambridge, in the same neighborhood as the Fairfield Inn & Suites and the Hampton Inn.

Shuttle Buses Will Transport Fairfield Inn, Hampton Inn, and Holiday Inn Guests to Conference Sites

Although it's a long walk from the Fairfield/Hampton/Holiday Inn neighborhood to the Hyatt Regency Cambridge and MIT's Kresge Auditorium, the main conference sites, the hotels are near the Lechmere stop on the MBTA Green Line, which can whisk you to the Boston University Central stop (Line B) near the Hyatt or the Park Street station to catch the Red Line to the MIT campus. 

But to make the alternate hotel location even more manageable, we're arranging for a shuttle bus to transport ScienceWriters2015 participants staying at the Fairfield Inn, the Hampton Inn, and the Holiday Inn to and from the main conference locations. The shuttle will run to and from the main meeting and tour pickup sites beginning Friday evening, Oct. 9., courtesy of the Knight Science Journalism program. We'll share a detailed shuttle schedule as the conference approaches.

Yet Another Hotel Option: Club Quarters

Subject to availability, ScienceWriters2015 participants are also welcome to register at the Club Quarters Hotel in Boston at a special MIT rate of $231 per night. The Club Quarters is in Boston's downtown financial district at 161 Devonshire Street, a short walk away from the MBTA Red Line, handy to both the MIT campus and Logan Airport.
